Learn how to notify specific teammates and bring them into conversations using @mentions.

What Are @Mentions?

@Mentions let you tag specific collaborators in comments to:

  • Get someone’s attention on important feedback
  • Assign tasks or action items
  • Loop someone into a conversation
  • Ask questions to specific team members

When you @mention someone, they receive an email notification and an in-app notification.

How to @Mention Someone

Basic Mention Syntax

  1. Type @ in any comment field (text or audio comments)
  2. Start typing the person’s username or name
  3. Autocomplete dropdown appears
  4. Use arrow keys to navigate, Enter/Tab to select
  5. Selected username inserted with @ prefix

Example:

@john Can you re-record the vocal at 2:15?
The bass is too loud @sarah

Autocomplete Behavior

Mention autocomplete dropdown

Who appears in the dropdown:

  • Collaborators with access to the current track/playlist
  • Members of the shared drive
  • People you’ve shared the item with directly

Who does NOT appear:

  • Users without access to the track
  • People from other projects
  • Random Feedtracks users (privacy protection)

Filtering:

  • Type to filter by username or display name
  • Case-insensitive matching
  • Matches any part of the name (not just beginning)

Keyboard navigation:

  • - Move selection
  • Enter or Tab - Insert selected mention
  • Esc - Close dropdown without selecting
  • Keep typing - Continues filtering

Multiple Mentions in One Comment

You can @mention multiple people in a single comment:

@john @sarah Can you both review the mix by Friday?

Great work team! Special thanks to @mike for the drums
and @alex for the guitar tracking.

Each mentioned person receives a separate notification.

Mentions in Different Contexts

Text Comments

Standard @mentions work in all text fields:

  • Track comments
  • Playlist comments
  • Comment replies
  • Audio comment descriptions

Audio Comments

Two ways to mention in audio comments:

  1. In the audio description text:

    [Audio recording: detailed mixing notes]
@sarah See audio comment above for full feedback
  2. Spoken in the audio (not automatically detected):

    • Say “At John’s request…” in audio
    • Manually @mention in text field below
    • Both audio and text appear together

Best practice: Combine audio feedback with text @mentions for clarity.

Comment Replies

@Mention works in reply threads:

Mention in reply thread

Original comment: "The vocal needs EQ"

Reply: @sarah I adjusted the EQ, can you check again?

The mentioned person receives notification of the reply, even if they didn’t create the original comment.

Notifications

What Mentioned Users Receive

Email notification includes:

  • Who mentioned them (name + username)
  • Which track/playlist
  • The comment text (first 200 characters)
  • Timestamp of the mention
  • Direct link to the comment

In-app notification:

  • Red badge on bell icon
  • Appears in notifications panel
  • Click to jump directly to comment

Notification Timing

  • Instant: Email sent within 1 minute of mention
  • Batched: If multiple mentions in quick succession, grouped into one email (5-minute window)
  • Digest: Option to receive daily digest instead of instant emails (Settings → Notifications)

Controlling Notifications

As the mentioned person:

Go to Settings → Notifications:

  • All mentions: Receive every notification (default)
  • Critical only: Only mentions with keywords (“urgent”, “deadline”, etc.)
  • None: Disable @mention notifications (not recommended)

Muting specific threads:

  • Click ⋮ on comment
  • Select Mute Thread
  • No notifications for replies (but still notified if @mentioned)

  • Your mention frequency
  • Response times to your mentions
  • Unanswered mentions (follow-up prompts)

Access in Settings → Analytics → Team Activity

@Mention Etiquette

When to Use @Mentions

Good use cases:

  • ✅ Assigning specific tasks
  • ✅ Asking direct questions
  • ✅ Bringing someone into a discussion
  • ✅ Requesting approval or sign-off
  • ✅ Urgent attention needed

Avoid overusing:

  • ❌ Mentioning entire team (use drive-wide announcements instead)
  • ❌ Mentioning on every comment (notification fatigue)
  • ❌ Mentioning for general info (use description/pinned comments)
  • ❌ Multiple mentions when one person can coordinate

Writing Effective @Mentions

Be specific:

❌ @john thoughts?
✅ @john Can you check if the vocal timing at 1:45 is in sync?

Include context:

❌ @sarah fix this
✅ @sarah The bass at 2:30 is clipping. Can you reduce by 3dB?

Set expectations:

❌ @mike FYI
✅ @mike Heads up - client wants changes by Friday. Let's discuss.

Acknowledge work:

✅ Great vocal performance @alex! Love the emotion at 3:15.

Response Expectations

As the mentioned person:

  • Acknowledge within 24 hours (even if just “working on it”)
  • Reply when task is complete
  • Ask clarifying questions if needed
  • Use resolve feature when issue is addressed

As the mentioner:

  • Allow reasonable response time (24-48 hours)
  • Send reminder @mention if no response after 3 days
  • Escalate to direct message for urgent items

Troubleshooting

Autocomplete not appearing

Cause: Focus lost or browser issue

Solutions:

  1. Click in comment field and type @ again
  2. Ensure cursor is directly after @ symbol
  3. Refresh the page
  4. Try different browser
  5. Disable browser extensions temporarily

Person not appearing in autocomplete

Cause: They don’t have access to the track

Solutions:

  1. Verify they’re a collaborator on the drive
  2. Check if track is in shared folder they can access
  3. Invite them to the drive/folder first
  4. Use public link + guest comments if they’re external

@Mention not sending notification

Cause: User has notifications disabled or typo in mention

Solutions:

  1. Verify username spelling (case-sensitive)
  2. Check if mention highlighted in blue (valid mention)
  3. Ask recipient to check spam folder
  4. Confirm they have notifications enabled
  5. Try @mentioning in a new comment

Cannot @mention admin/owner

Cause: Admins may have special notification settings

Solutions:

  1. Verify they’re active collaborators
  2. Check if they muted the thread
  3. Use direct message instead
  4. Contact them via email outside Feedtracks

Privacy and Security

Who Can See @Mentions?

@Mentions are visible to:

  • Everyone with access to the track/playlist
  • All members of the shared drive
  • Public link recipients (if guest comments enabled)

@Mentions do NOT:

  • Appear in search engines
  • Get indexed publicly
  • Share outside the drive’s members

Removing @Mentions

Cannot edit mentions after posting, but you can:

  1. Delete the comment entirely
  2. Add a new reply correcting/clarifying
  3. Resolve the comment thread

Note: Deleted comments stop sending future notifications, but the initial notification email was already sent.

@Mention Spam Prevention

Feedtracks prevents @mention abuse:

  • Rate limit: Max 20 mentions per hour
  • Duplicate detection: Same user in same thread within 5 minutes = one notification
  • Bulk mention cap: Max 10 users per single comment
