Creating Shared Drives
Set up unlimited collaborative workspaces with shared drives. Organize team projects, control access levels, and collaborate on audio files seamlessly.

What are shared drives?
Shared drives are collaborative workspaces where teams can store, organize, and comment on audio files together. Unlike your personal drive (which only you can access), shared drives allow multiple team members to:
- Upload and organize tracks
- Add and reply to comments
- Create versions and playlists
- Manage folders and files
Key feature: You can create unlimited shared drives, even on the free plan.
Creating your first shared drive
Step 1: Open the create drive dialog
Find the create button in the sidebar:
- Look for the “+” button next to “Drives” in the sidebar
- Click it to open the drive creation menu
- Select “New Shared Drive”

Step 2: Name your drive

Enter a drive name (required)
- Use descriptive names: “Band Album 2025”, “Client Projects”, “Podcast Episodes”
- Names can be changed later

Add a description (optional)
- Explain the drive’s purpose: “Mixing sessions for our debut album”
- Helps collaborators understand the drive’s use
Step 3: Create the drive
- Click “Create Drive”
- The drive appears in your sidebar under “Drives”
- You’re automatically taken to the new empty drive
That’s it! You’ve created a shared drive. Now you can add members and start uploading.
Adding members to your drive
Shared drives are private by default. Add collaborators to give them access.
Step 1: Open drive settings
- Click on your drive name in the sidebar
- Look for the settings icon (gear) in the top-right
- Click it to open drive settings
- Select the “Members” tab
Step 2: Invite by email
- Find the “Invite Members” section

Enter email address(es):
- One email per invitation
- Or paste multiple emails separated by commas
- Choose their role (see roles below)
- Click “Send Invite”
Invitees receive an email with:
- Drive name and description
- Link to join the drive
- Information about who invited them
Invite collaborators by email address
Step 3: Wait for acceptance
- Invited users appear as “Pending” in the members list
- When they click the invite link, they’re added immediately
- Their status changes from “Pending” to “Active”
Note: Users must have a Feedtracks account to join. If they don’t have one, they’ll be prompted to sign up first.
Member roles and permissions
Choose the appropriate role when inviting team members.
Owner (you)
Permissions:
- ✅ Upload, edit, delete any files
- ✅ Add and remove members
- ✅ Change drive settings
- ✅ Delete the entire drive
- ✅ Transfer ownership
Who should be an owner:
- Project lead
- Band leader
- Team manager
Note: Only one owner per drive. You can transfer ownership to someone else in drive settings.
Admin
Permissions:
- ✅ Upload, edit, delete any files
- ✅ Add and remove members (except owner)
- ✅ Change drive settings
- ❌ Cannot delete the drive
- ❌ Cannot transfer ownership
Who should be an admin:
- Co-producers
- Studio managers
- Trusted collaborators
Member
Permissions:
- ✅ Upload files
- ✅ Add comments and replies
- ✅ Create folders and playlists
- ✅ Edit/delete their own uploads
- ❌ Cannot edit/delete others’ files
- ❌ Cannot add/remove members
- ❌ Cannot change drive settings
Who should be a member:
- Band members
- Session musicians
- Engineers
- Most collaborators
Viewer
Permissions:
- ✅ View all files
- ✅ Play audio
- ✅ Add comments and replies
- ❌ Cannot upload files
- ❌ Cannot delete anything
- ❌ Cannot change settings
Who should be a viewer:
- Clients reviewing mixes
- Stakeholders who need visibility
- Anyone who should listen but not upload
Managing drive members
Changing member roles
- Go to drive settings → Members tab
- Find the member in the list
- Click the role dropdown next to their name
- Select new role
- Changes apply immediately
Removing members
- Go to drive settings → Members tab
- Find the member to remove
- Click the “…” menu next to their name
- Select “Remove from drive”
- Confirm removal
What happens when you remove someone:
- They lose access to the drive immediately
- Their comments and uploads remain (attributed to “[removed user]”)
- They receive no notification (silent removal)
Resending invitations
If someone didn’t receive or lost their invite:
- Go to drive settings → Members tab
- Find them in the “Pending” section
- Click “Resend Invite”
- They receive a new email with the invitation link

Folder structure
Create a logical folder structure before uploading:
Band Album 2025/

Naming conventions
Agree on naming standards with your team:
- Dates: YYYY-MM-DD format (2025-11-07)
- Versions: v1, v2, v3 or Rough, Review, Final
- People: Who worked on it (Mixed by John, Produced by Sarah)
Using playlists
Create playlists for specific purposes:
- “For Client Review” - Tracks needing approval
- “Need Mixing” - Raw tracks waiting for processing
- “Final Deliverables” - Completed tracks ready for release

Drive settings
Customize your drive’s behavior and appearance.
General settings
Access via drive settings → General tab:
- Drive name: Change anytime
- Description: Update as project evolves
- Drive color: Pick a color to identify it in the sidebar (Pro/Label plans)
- Default view: Choose list or grid view
Storage settings
Access via drive settings → Storage tab:
- Storage used: See how much space this drive consumes
- Quota warnings: Set alerts when drive reaches certain size
- Trash auto-delete: Choose how long deleted files stay in trash (7, 30, or 90 days)
Privacy settings
Access via drive settings → Privacy tab:
- Drive visibility: Private (members only) or Internal (anyone in your organization)
- Guest access: Allow/disallow public/protected track links
- Comment permissions: Members only, or allow guests to comment
Working with multiple drives
Switching between drives
Click any drive name in the sidebar to switch. The active drive is highlighted.
Keyboard shortcut:

Cmd/Ctrl + Kopens the quick switcher - Type drive name to filter
- Press Enter to switch
Moving tracks between drives
- Select track(s) in source drive
- Click “Move” in toolbar
- Choose “Move to another drive”
- Select destination drive
- Choose folder within that drive
- Click “Move here”
Note: Only owners and admins can move tracks between drives.
Copying tracks between drives
To keep a track in both drives:
- Right-click on track
- Select “Copy to…”
- Choose destination drive and folder
- Click “Copy”
Copies are independent - changes to one don’t affect the other.
Archiving and deleting drives
Archiving a drive
For completed projects you want to preserve but not actively use:
- Go to drive settings → General tab
- Scroll to “Archive Drive” section
- Click “Archive this drive”
- Confirm
What happens:
- Drive moves to “Archived” section in sidebar (collapsed by default)
- All files remain accessible (read-only)
- Members can view but not upload or edit
- Storage space still counts toward your quota
Deleting a drive
Warning: This is permanent and cannot be undone.
- Go to drive settings → Advanced tab
- Scroll to “Danger Zone”
- Click “Delete Drive”
- Type the drive name to confirm
- Click “Permanently Delete”
What happens:
- All files are permanently deleted
- All comments and metadata are lost
- All members lose access
- Drive name becomes available again
Before deleting:
- Download any files you want to keep
- Notify all members
- Consider archiving instead
Troubleshooting
Can’t add members
Possible causes:
- You’re not the owner or admin
- User already has access
- Email address is incorrect
- Drive is at member limit (Label plan: unlimited, lower plans: 25 members)
Solutions:
- Ask the drive owner to add them
- Check the members list to see if they’re already there
- Verify email spelling
- Upgrade plan if at member limit
Member didn’t receive invitation
Possible causes:
- Email went to spam folder
- Typo in email address
- Their mail server blocked it
Solutions:
- Ask them to check spam/junk folder
- Resend invitation with correct email
- Have them whitelist noreply@feedtracks.com
- Use the direct share link (in drive settings → Members → Copy invite link)
Can’t upload to shared drive
Possible causes:
- You’re a Viewer (no upload permission)
- Drive storage quota exceeded
- Your personal quota is exceeded
Solutions:
- Ask drive owner to change your role to Member
- Ask owner to free up space or upgrade
- Delete files from your personal drive to free up your quota
Collaborator sees different files
Possible causes:
- They’re in a different folder
- Files are in trash
- They refreshed their view and it’s stale
Solutions:
- Check you’re both viewing the same folder
- Check the trash if files seem missing
- Have them refresh the page (Cmd/Ctrl + R)
Pro tips
Bulk invite with CSV
For large teams:
- Prepare a CSV file with columns: email, role
- Go to drive settings → Members → Import
- Upload your CSV
- Review and confirm
Drive templates
Create a “template drive” with ideal folder structure:
- Set up perfect folder organization
- Archive it
- For new projects, duplicate it (drive settings → Duplicate)
Notifications
Control what notifications you receive per drive:
- Go to drive settings → Notifications

Choose frequency:
- Real-time (every action)
- Daily digest
- Weekly digest
- None (mute drive)
Drive analytics
Track drive activity:
- Go to drive settings → Analytics

- Storage usage over time
- Most active members
- Comment activity
- Upload frequency
